Job Description

We are seeking an astute and proactive Personal Assistant to provide dedicated and comprehensive support to one of our esteemed executives. This role involves being the right hand to the executive, ensuring seamless coordination of schedules, managing administrative tasks, and facilitating efficient communication within the executive's office.

Responsibilities:

  • Serve as the primary point of contact: Manage incoming calls, handle mail, and ensure prompt and accurate message delivery.
  • Calendar and Schedule Coordination: Efficiently maintain and update the executive's appointment schedule, providing timely notifications as needed.
  • Correspondence Handling: Respond to emails and fulfill document requests on behalf of the executive, ensuring professionalism and accuracy.
  • Travel Arrangements: Facilitate comprehensive travel plans, including hotel accommodations, flights, and transportation arrangements.
  • Organization and Filing: Establish and maintain an effective electronic filing system to streamline information retrieval and management.
  • Document Preparation and Quality Assurance: Prepare documents and meticulously proofread content to maintain high-quality standards.
  • Procurement and Inventory Management: Source and purchase necessary items for the home, managing inventory effectively.
  • Appointment and Event Planning: Coordinate and plan appointments and events, ensuring seamless execution and adherence to schedules.
  • Task Delegation: Assist with additional assignments as delegated by the executive, displaying flexibility and adaptability.
  • Office and Home Efficiency Enhancement: Propose and implement efficient office and home management strategies, troubleshooting any malfunctions or issues that arise.

Requirements:

  • Exceptional Organizational Skills: Proficient in prioritizing tasks, managing time effectively, and proactively addressing responsibilities.
  • Proficiency in Technology: Skilled in operating computers, Microsoft Office suite, and proficient in English for effective communication.
  • Ability to Multitask and Prioritize: Efficiently manages multiple tasks daily, demonstrating adeptness in task prioritization.
  • Accountability and Reliability: Displays a strong sense of responsibility, completing tasks reliably with minimal oversight.
  • Effective Communication: Exhibits excellent verbal and written communication skills in English, maintaining discretion and confidentiality.
  • Problem-Solving Skills: Demonstrates strong problem-solving abilities to address challenges effectively as they arise.
  • Compliance with Screening: Able to pass basic background checks and drug tests as required for the role.
  • Punctuality and Adaptability: Values punctuality and demonstrates flexibility in managing various responsibilities.
  • Bonus: Possession of a valid driver’s license with a clean driving record, although not mandatory. (Helpful for tasks like grocery pickups and car servicing).

Work Environment:

This role offers a hybrid work environment, blending remote work flexibility with in-office presence. While the position will transition to a hybrid setup, the initial training period will be conducted on location to ensure a comprehensive understanding of the responsibilities and operations.

During the training phase, the successful candidate will work on-site to familiarize themselves with the intricacies of the role, the executive's preferences, and the company's workflows. This foundational on-site experience will provide a strong base for the hybrid arrangement that follows.

Post-training, the position will embrace a hybrid structure, allowing for a blend of remote work and on-site presence as needed. This setup offers flexibility while ensuring efficient support for the executive in both virtual and physical capacities.
