Job Description
We are seeking a meticulous and detail-oriented Finance Executive to join our finance team. The successful candidate will play a critical role in managing the financial transactions of the agency, ensuring accuracy and efficiency in all tasks related to invoicing, credit/debit memos, and airline refunds. The ideal candidate will have a strong background in accounting, excellent organizational skills, and the ability to handle multiple tasks effectively.
Invoice Creation and Management:
- Generate and issue accurate invoices for all sales transactions, including travel bookings, tour packages, and other services offered by the agency.
- Ensure all invoices are sent to clients in a timely manner and follow up on outstanding payments to ensure prompt collections.
- Maintain and update records of all invoices and related documentation in the accounting system.
Credit and Debit Memos:
- Prepare and process credit and debit memos for adjustments, returns, and refunds as required.
- Ensure all memos are accurately documented and approved in accordance with company policies.
- Collaborate with the sales and customer service teams to resolve any discrepancies or issues related to credit and debit memos.
Airline Refund Management:
- Coordinate with airlines to apply for and manage refunds on behalf of clients.
- Track and monitor the status of refund requests to ensure timely processing and resolution.
- Maintain detailed records of all refund transactions and communicate updates to clients and relevant internal departments.
Financial Coordination and Reporting:
- Assist in the preparation of financial reports, including monthly, quarterly, and annual statements.
- Support the finance manager in budgeting, forecasting, and financial analysis activities.
- Reconcile accounts and perform regular audits to ensure accuracy and compliance with financial regulations.
Customer Service & Support:
- Provide exceptional customer service by addressing client inquiries related to billing, invoices, and refunds.
- Resolve any billing discrepancies or issues promptly and professionally.
- Work closely with other departments to ensure seamless financial operations and client satisfaction.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Proven experience as an Accounts Executive or in a similar accounting role, preferably within the travel industry.
- Strong knowledge of accounting principles and practices.
- Proficiency in accounting software and MS Office, particularly Excel.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy in financial transactions.
- Ability to communicate effectively with clients, colleagues, and external partners.
- Problem-solving skills and the ability to work independently and as part of a team.
